Job Description

Compensation: $75k+, DOE

Location: Monterey County, CA

Type: 100% On-site / office-based [No remote or hybrid option]

Position Summary: The Senior Executive Administrator will serve as a trusted partner to the CEO, providing high-level administrative support, managing schedules, coordinating communications, and facilitating projects to enhance productivity and effectiveness. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Key Responsibilities:

  • Executive Support: Manage the CEO’s calendar, schedule meetings, and prioritize appointments to ensure optimal time management.
  • Communication Management: Act as the primary point of contact between the CEO and internal/external stakeholders, drafting and responding to correspondence as needed.
  • Meeting Coordination: Prepare agendas, materials, and minutes for meetings; follow up on action items and ensure timely completion.
  • Project Management: Assist in the planning and execution of special projects and initiatives, tracking progress and reporting on outcomes.
  • Travel Coordination: Arrange complex travel itineraries, accommodations, and logistics for the CEO and other executives as necessary.
  • Data Management: Organize and maintain confidential files, documents, and reports, ensuring easy access to information.
  • Research and Analysis: Conduct research and gather information to support decision-making and strategic initiatives.
  • Budget Assistance: Support the CEO in managing budgets and tracking expenses related to executive operations.
  • Team Collaboration: Work closely with other administrative staff and departments to ensure seamless communication and collaboration across the organization.

 

Qualifications:

  • Bachelor’s degree in Business Administration, Business Management, or a related field preferred.
  • Minimum of 3-5 years of experience as an executive assistant or in a similar role supporting senior executives.
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of professionalism and confidentiality in handling sensitive information.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
